Still writing GST bills late at night? A faster billing routine for distributors
Bills typed one by one after the day’s orders close, every item entered twice. Why distributor billing runs late, a cleaner routine, and what software can take over.

Short answer: GST bills get written late at night because billing can only start after the day’s orders close, and every item is typed twice, once on the challan and again on the bill. To finish faster, keep one rate list per shop type, bill only from an approved order list, and make challan and bill from one entry.
Key takeaways
- Billing runs late because it waits for orders and repeats every entry.
- One current rate list and a closed, approved order list remove most errors.
- CGST and SGST apply in your state, IGST outside it; a five-point check catches slips.
- Bagdor makes the challan and GST bill for every approved order overnight; it does not make e-invoices or e-way bills.
Why do GST bills take until late at night?
- Billing waits for orders. Orders keep arriving until late, so billing cannot start until the list closes, and then it all has to be done before the vans leave.
- Everything is typed twice. The challan for the godown and the bill for the shop are made separately, from the same order, by hand.
- Rates live in heads. Kirana, hotel and supermarket rates differ, and some shops have special rates. Whoever bills has to remember or look them up.
- Tax splits need care. A buyer in your own state gets CGST and SGST; one in another state gets IGST. Mixing them up is easy late at night and surfaces at filing time.
- Several firms, several books. Many distributors bill from two or three GST firms, each with its own GSTIN, bill series and letterhead.
- Returns are fixed by hand. A return or damaged item is adjusted with a cutting on the bill, without a credit note on record.
What does late-night billing cost a distributor?
- Late nights, every night. Billing becomes one person’s permanent night shift, and that person cannot fall sick.
- Mistakes that travel. A wrong rate or a missed item reaches the shop, comes back as a complaint and needs a correction.
- Delayed dispatch. When billing runs late, loading starts late, and the first shops on the route get their goods late.
- Headaches at filing time. Wrong tax splits and missing credit notes have to be found and fixed later, usually by your accountant.
How to make GST bills faster, even without software
The routine in seven steps:
- Keep one current rate list per shop type, plus special rates.
- Close and approve the order list before billing starts.
- Make the challan and the bill from one entry.
- Bill route by route, the first route out first.
- Run a five-point check before printing.
- Give every return a numbered credit note.
- Share bill and credit note registers with your accountant monthly.
1. One rate list per shop type, kept current
Keep a written rate list for each kind of buyer (for example kirana, hotel, supermarket) and a short list of shops with special rates. When a price changes, update the list on the day it changes, not when someone remembers.
2. Close and approve the order list first
Billing starts from an approved list, not from WhatsApp chats. Use a fixed order cut-off so the list closes at the same point every day. Late orders go on the next run or on a separate rush bill.
3. Make the challan and the bill from one entry
If you use a billing tool, enter the order once and create both documents from it. If you bill on paper or in a sheet, at least copy the bill from the challan line by line, never from the original message.
4. Bill route by route
Bill the route that leaves first, first. Hand those bills to the loading team while you bill the next route. Billing and loading then run side by side instead of one after the other.
5. A five-point check before you print
- Right firm, right bill series?
- Buyer’s GSTIN and state correct?
- CGST + SGST for in-state, IGST for out-of-state?
- Rates match the shop’s rate list?
- Bill total matches the challan?
The tax split at a glance:
| Where the buyer is | Tax on the bill |
|---|---|
| Same state as your firm | CGST + SGST, split equally |
| Another state | IGST |
6. Returns get a credit note
Every return or damaged item gets a credit note with a number, instead of a cutting on the old bill. Your accountant will thank you.
7. Keep the accountant in the loop
Share bill and credit note registers with your accountant on a fixed day each month. Tax rules change, and your accountant should confirm rates and requirements for your business.
How does Bagdor make GST bills overnight?
Bagdor is distributor management software (DMS) from Lucknow, India, for distributors of dairy, FMCG, bakery, beverages and more. It comes as four apps included in one price: the Distributor Panel (web), the Retailer App with WhatsApp ordering, the Driver App and Bagdor Sales. Its GST billing made for distributors works like this:
- Challans and bills made overnight. Overnight, every approved order becomes a challan and its GST bill, ready for the morning dispatch. Orders that cannot be filled from stock are left for the office to check.
- Or make one any time. The office can make a challan and bill for any approved order straight away, for a rush delivery or a counter sale.
- The right tax, worked out. CGST and SGST for a buyer in your state, IGST for one outside it, worked out from your firm’s address and the retailer’s.
- Several GST firms, one account. Each firm keeps its own GSTIN, invoice series, bank and UPI details, FSSAI number and logo.
- Each retailer at their own rate. Kirana, hotel and supermarket rates, special rates for any retailer and price changes scheduled ahead all flow into the bill.
- Returns with a credit note. Returns taken at the door or posted by the office get a credit note.
- Bills the shop can see. Retailers see their bills and ledger in the Retailer App.
Please note what Bagdor does not do today: it does not create e-invoices or e-way bills, it does not sync with Tally, and printing challans and invoices is not available yet. If your business must issue e-invoices or e-way bills, keep using the tool you use for them, and keep your books with your accountant. Tally keeps your books; Bagdor runs your day.
