Distribution words, in plain English

This glossary explains, in plain English, the words Indian distributors use every day: challan and GST bill, CGST and IGST, udhaar and khata, FEFO and batches, crate ledgers, HoReCa and Modern Trade. Each term has a short meaning and a link to the part of Bagdor that handles it.

Challan (delivery challan)
The document that goes with the goods when they are delivered. It lists what was sent to the shop. In Bagdor the challan and its GST bill are made together, automatically at 2 AM for approved orders. GST billing in Bagdor
Tax invoice (GST bill)
The bill a GST-registered seller gives the buyer, showing the value of goods and the GST charged. It is what the buyer pays against and what both sides report in their GST returns. GST billing in Bagdor
CGST and SGST
Central and State GST. When the seller and buyer are in the same state, GST is split equally between the two. GST billing in Bagdor
IGST
Integrated GST, charged instead of CGST and SGST when goods go from one state to another. GST billing in Bagdor
GSTIN
The 15-character GST registration number of a business. A distributor with several firms has one GSTIN for each. GST billing in Bagdor
Credit note
A document that reduces what a buyer owes, for example when goods are returned or found damaged. Expiry management in Bagdor
Udhaar
Goods given on credit: the amount a shop owes the distributor and will pay later. Also called dues or outstanding. Udhaar and collections in Bagdor
Khata and baki
The khata is the account or ledger kept for each shop; baki is the balance still to be paid on it. Udhaar and collections in Bagdor
Credit limit
The most a shop may owe at one time. Orders from shops over their limit are flagged before approval. Udhaar and collections in Bagdor
Ageing (dues by age)
Outstanding grouped by how long it has been unpaid, such as 0–30, 31–45 and over 45 days, to show whom to chase first. Udhaar and collections in Bagdor
FEFO (first expiry, first out)
Sending out the stock that expires first, so old stock leaves before new and less is wasted. Expiry management in Bagdor
Batch
A lot of the same product received together, with one expiry date. Stock kept by batch shows exactly what expires when. Expiry management in Bagdor
GRN (goods received)
The record made when stock arrives from a supplier: what came, how much, and its batch and expiry. Expiry management in Bagdor
Crate ledger
A running count of the crates each shop holds: given, returned and still pending. Crate tracking in Bagdor
Delivery run
One vehicle’s trip with its list of stops for the day. The Bagdor Driver App
Proof of delivery
Evidence that goods reached the shop, such as the receiver’s name and signature. The Bagdor Driver App
General Trade (GT)
Kirana and other small neighbourhood shops. Bagdor for FMCG distributors
Modern Trade (MT)
Supermarkets and retail chains. Bagdor for FMCG distributors
HoReCa
Hotels, restaurants and caterers. Bagdor for FMCG distributors
Order cut-off
